Responsibilities

The American Heart Association has an excellent opportunity for a Project Coordinator, International based out of our National Center office located in Dallas, TX!

This individual will be responsible for providing coordination and administrative support for the International Science Department. Responsible for preparing and distributing communications, scheduling, volunteer responsibilities and other organizing efforts based on project assignments. Also, responsible for volunteer committee meeting and travel logistics, volunteer expense reimbursement, record keeping or other administrative duties.

  • Communicate with staff and volunteers to organize and manage assigned projects/events/meetings

  • Manage logistics for AHA International participation in virtual and in-person scientific conferences including coordinating invitations, agendas, scheduling, accommodations, travel arrangements, visa requirements, registration, catering, and budget/expense management. This includes arrangements for staff, consultants, volunteers and stakeholders

  • Assist with management and logistics of AHA International Committee meetings and volunteers

  • Utilize vendor and/or AHA systems (e.g. E1, Dynamics, Optimus, etc.) efficiently and competently to process invoices, contracts, requisitions, and expenses. Submit staff and volunteer expense reimbursements

  • Respond to requests for resources or administrative assistance. Process incoming and outgoing mail, create and maintain office and computer files, as well as daily and weekly knowledge of ongoing operations in assigned activities

  • Provide administrative and logistical support to the International Science Department including managing travel logistics and expense reporting, general correspondence, scheduling appointments/managing calendar, etc.

Qualifications

  • High School Diploma or Equivalent

  • Two (2) – Five (5) years of relevant experience

  • Knowledge of and ability to perform standard project management skills and practices, including word processing, schedule management, timeline tracking, project organization, etc.

  • Knowledge of international marketplace and experience supporting clients from multiple cultures.

  • Strong written and oral communication skills in English; strong interpersonal skills.

  • Proficiency in computer use, such as Microsoft Office applications including, but not limited to, Word, Outlook, Excel, Project, Power Point, Access, etc. and webpage authoring tools.

  • Strong organizational skills with ability to initiate projects, provide follow-through, and devise alternative solutions as necessary.

  • Be able to work with minimum supervision.

Preferred Experience:

  • Some College

  • Knowledge of at least one foreign language highly desired. Preferred languages include: Spanish, Chinese, Portuguese, Japanese.
