American Heart Association Project Coordinator in Irving, Texas

Due to the current pandemic, daily travel is minimal and voluntary to ensure the health and safety of staff. There is no overnight travel currently. In the future, this position may resume daily and/or overnight travel. All AHA offices are closed and staff are currently working from home.


The American Heart Association is looking for a creative and energetic Project Coordinator in the Dallas/Ft. Worth area. This position will provide administrative support to our Senior Vice President Development by preparing documents and reports, maintaining records, and coordinating meetings, plus any other assigned work. The Project Coordinator will also work with our volunteers who help with events throughout the year, so we are looking for a great multi-tasker who can do it all with a great attitude and who likes to work in a busy environment.

Here are some of the job duties of the position:

  • Coordinate Outlook for complex interview/meetings for the consultant team, SVP of Development, and AEVP.

  • Coordinate and monitor project timelines while effectively communicating project needs and related information in the region as required.

  • Utilize vendor and/or AHA systems efficiently and competently to complete duties/projects.

  • Monthly Pcard/expense submissions.

  • Coordinate vendor meetings.

  • Coordinate external meetings with volunteers, ELT Members, board members, etc.

  • Retrieves and Analyzes Business Ops Reports as needed

  • Completes the Revenue Impact Summary monthly and as needed

  • Monthly, Quarterly, & Yearly budget tracking, editing, and submission.

  • Schedules & manages trainings and region wide calls on behalf of consulting team

  • Creates, manages, and distributes development communications (i.e. The Torch, The Scoop)

  • Prepares materials for Gap Meetings & Strategy Meetings as needed

  • Provides technology support for Region Wide meetings and trainings (TEAM Awards, Around the SW in 60 minutes, Ride the Region, etc.)

  • Takes detailed notes for meetings as requested (i.e. SVP Huddle, Chair Accountability Call)

  • Triages interested volunteers to correct staff connector.


Take a look at some of our requirements:

  • High school diploma or GED equivalent required. College graduate preferred.

  • 2+ year related experience.

  • Ability to lift 20lbs from ground to waist level with or without reasonable accommodation.

  • Proficiency with Microsoft Office used for word processing, email, presentations and spreadsheets. Advanced knowledge and skill with these programs is preferred. These skills are subject to testing.

  • Must be at least 18 years old.

  • Ability to work evenings/weekends and travel when necessary.

  • Ability to work in a team environment and interact with all levels of AHA staff, volunteers and public.

  • Ability to maintain a current driver’s license, drive a car and provide reliable transportation.
