American Heart Association Project Coordinator, Field Campaigns in Dallas, Texas

The American Heart Association has an excellent opportunity for a Program Coordinator.

The Coordinator will work directly with our national field campaign development team and manage multiple projects that support Core Campaigns, including Heart Ball, Go Red for Women, Heart Walk and Impact Campaigns, and Field Campaign Operations.

Responsibilities

  • National event support to include: RSVPs, logistics, attendee communications and on-site coordination and support.

  • Meeting management to include: scheduling meetings, organizing agenda items, preparing necessary reports and data, taking detailed notes and managing follow-up action items across the team.

  • Collect content, draft and coordinate regular field and leadership campaign communications.

  • Prepare and distribute stakeholder materials which may include updating on-line content, distribution of field resources and materials, evaluation/metrics needs, etc.

  • Manage on-going and annual updates of campaign resources as needed.

  • Department financial support to include tracking project expenses, processing team expense reports and invoices.

  • Coordinate and monitor project timelines while effectively communicating project needs.

  • Management of several national department inboxes and calendars.

  • Communicate with internal and external stakeholders to organize and manage assigned projects/events. Includes providing high level customer service and collaboration.

  • Utilize vendor and/or Association systems efficiently and competently to complete duties/projects.

  • Assist in ensuring internal coordination and cross functionally with other departments.

Qualifications

  • Three (3) years of experience in project coordination and cross functional communication.

  • Three (3) years of experience in budget coordination.

  • High School Diploma or equivalent

  • Demonstrated ability to prepare written and presentation communications.

  • Proven track record in cross functional effectiveness, detail orientation, follow-up/follow-through are top priorities for the job.

  • Demonstrated customer service skill.

  • Must have at least basic knowledge and skill with Microsoft Office, including Excel, PowerPoint, and Outlook.

Preferred Qualifications:

  • Experience in event or meeting planning for internal/external events

  • Experience providing excellent administrative support and coordination

  • Some college or BA in Communications, Business, Marketing or related area.
